Match folder levels

Tell Machine QR what each folder level means, then apply the matching.

Many companies already keep one folder per customer, site, and machine, such as Customers / Customer A / Plant North / FM-1042 Filler. Folder matching links each folder to the matching space or asset, so its documents show on that object. You need to be an owner or admin.

  1. Open Library, then Folders, and select the linked folder.
  2. Select Match folders.
  3. Under Start folder, choose the folder that holds the first level, for example Customers.
  4. Under Folder levels, Machine QR shows a real example path below the start folder. For each level, choose what it means: a kind of space (Company, Site, Area, Line, Group), Asset, Asset type, or Just a folder. Levels below the asset or asset type level are its contents.
  5. Turn on Create what's missing if Machine QR should also create the spaces, assets, and asset types that do not exist yet. Under When no type is recognized, choose Create with All assets or Skip the folder.
  6. Select Preview. Each folder shows as Connected, New, or Skipped with a reason, such as "No identifier in the name". Select Skip or Include to change single folders.
  7. Select the apply button, for example Connect 120 folders.

Result: Machine QR connects the folders and shows how many it connected and created. You can close the sheet; applying continues without the browser.

How folders are matched:

  • An asset is found by the identifier at the start of the folder name, up to the first space or underscore. FM-1042 Filler matches the asset FM-1042; a new asset gets the rest, "Filler", as its name.
  • Spaces and asset types are found by name. Two objects with the same name skip the folder.
  • An asset shows only its own folder; the customer and site folders show on their spaces.

When new folders appear at the provider, open the linked folder and select Check again. The preview then offers only the folders added since the last check. See Folders.
