Work orders

How a team's work orders move from request to closed.

Teams and numbering

A work order belongs to one team. Each team numbers its own work orders, with the team code in front: MAINT-12. Open Work orders in the sidebar and choose the team.

A work order has three tabs:

  • Request: the title and description, what needs attention.
  • Work: the work document with its steps and tasks, and the feed.
  • Report: a summary of the work. It is final once the work order is closed.

Requests

Anyone on the team can submit a request: select the create button and choose Request. On an asset or space, New request does the same with the asset filled in. Contributors can also create a Work order directly, with one step for each asset they choose.

A request stays in the Request phase until someone moves it to another status.

Statuses

A status is the team's label over one of five phases: Request, Open, In progress, Waiting, or Closed. Owners and admins set each team's statuses. See Set up team statuses.

Work order types, such as Maintenance, Inspection, Repair, and Other, are shared by all teams. Each type has a category: Preventive, Corrective, or Other.

List, board, and table

Use Display to switch between List, Board, and Table, and to group by Status, Priority, or Type. On the board, drag a card to change its status or type. Filters apply to all three views. By default, closed work orders are hidden; clear the filters to include them.

Side panel and priority

The side panel holds Status, Urgency, Impact, Due, Effort, Type, Responsible, Involved, Space, Assets, tags, and the properties of the work order's type. If the team has shifts, you can plan the work order for one.

Priority is urgency times impact, shown as four bars and filtered as Low, Medium, High, or Critical. An open work order's impact also sets the status of its assets: Degraded shows them as Degraded, Down or Total stop shows them as Down.

Locking

Contributors can Lock a work order to freeze its plan. The fields and the document's structure become read-only. Status, the feed, and ticking tasks stay open. Unlock reverses it.

Closing

A work order in a closed status is read-only until someone changes the status again. Its impact on the asset status ends when it closes and returns if it reopens.
