Teams and space access

How teams and team roles decide who reaches which spaces.

Teams

A team is a working group, such as a shift, a trade, or a service crew. Teams own work orders and can limit who reaches which spaces.

In Workspace settings, each team has its own row under Teams. Owners and admins select New team there and enter a name, a color, and a description. Machine QR makes a team code from the name, such as MECHA, and uses it in work order ids. If another active team holds the code, the next free one, MECH2 to MECH9, is used.

Archive team hides a team from new assignments. Archived teams stay under Teams, after the active ones, and can be restored.

Team roles

Owners and admins add members to a team in its Access section, as Viewer or Contributor.

Team role Work orders of the team Spaces assigned to the team
Viewer Read and submit requests Read
Contributor Create and work on work orders Edit, as on open spaces

Owners and admins reach every team and every space without a team role. Other members see only the teams where they have a role.

Assigning teams to spaces

On a space, the Access section shows Everyone or the teams assigned to it. Owners and admins select Add teams to limit it.

  • A space with no team on it or above it is open to every member.
  • A team reaches its assigned space, everything below it, and the assets in them.
  • Access from several teams adds up.
  • A space shows teams it inherits with "from" and the space above.

What members see above a space

Above a space they can reach, members see each parent's name, identifier, and kind, and nothing more. Everything else they cannot reach is absent: in the tree, in counts, in search, in activity, and in pickers.

Members cannot move an asset or space to where more people can see it. Owners and admins can.

Turning Teams off

Teams is a workspace switch. Teams settings show while Teams or Work orders is on. Space assignments keep applying when Teams is turned off. Only Machine QR platform admins change the switch. See Settings and switches.
