Spaces and assets

How spaces organize assets, and what an asset carries with it.

Spaces

A space is a place or a group in your tree: a site, a hall, a line, or a customer with sites below it. Each space has a kind (Organization, Site, Area, Line, or Group), which sets its icon and the properties it shows. Here, an organization is a customer or company that owns sites.

A space can carry an optional Identifier, such as an SAP functional location or a customer number, to match it with another system. It is unique among the workspace's spaces and is not part of any link.

Assets

An asset is one physical machine. It has a name, an identifier, a type, a status, and optionally a space. Its history stays with it: the logbook, documents, and work orders follow the asset when it moves.

An asset without a space shows under No space.

Positions

A position is a lasting place in a space, such as "Mixer station 2", that one asset fills at a time. When a machine is replaced, the position stays and records which assets filled it.

  • Creating an asset in a space also creates a position named after it. Turn off Create a position for this asset for spares and mobile tools.
  • An empty position shows as a dashed outline. Drag an asset onto it to install it.
  • The asset's Position menu item lists every position it filled and every asset that filled its position.

Identifiers

The identifier is the asset's reference in the QR link, often a serial number. It is unique in the workspace, stored in uppercase, and 4 to 64 characters long. If you leave it empty, Machine QR makes one from the name. The asset type's identifier pattern can suggest a type. See Asset types.

Moving and renaming

Members rename assets and spaces and move them to another space. Renaming an installed asset also renames its position. Printed QR codes keep working after a rename or a move, because the link uses the identifier.

You cannot move an asset or space to a place where more people can see it, unless you are an owner or admin. See Teams and space access.

Deleting

Owners and admins delete assets and spaces.

  • A deleted asset can be restored with Undo, or later from Workspace settings, Deleted. It comes back without a space. Its identifier stays reserved while it is deleted.
  • Deleting a space asks what to do with its contents: Move contents to another space, or Delete contents. The space itself cannot be restored. Assets deleted with it can.
