Properties

How properties describe spaces and assets, and how asset types pass values down.

Property types

A property is a field your workspace defines, such as "Rated power" or "Contract end". The workspace keeps one library of properties in Library, Properties. Each property has a label, a type, and a Key, such as rated_power. The key is unique in the workspace and cannot be changed later.

Type Holds
Text, Long text Free text
Number A number, with an optional unit such as kW
Currency An amount in one currency
Checkbox Yes or no
Date A full date, a month and year, or a year
Select One option from a list
Multi-select Several options from a list
Member One or several workspace members
Web address A link that opens
Email An address that opens your email app
Phone A number you can call

For a date, the precision you choose under Stores cannot be changed later. A member who is later suspended or removed stays on a member value, marked, until someone clears it.

Where a property applies

A property shows only where you use it. Select Use on… to choose:

  • a kind of space, such as every site. Settings for this are also in Workspace settings, Spaces.
  • an asset type, which covers its variations and their assets.
  • a work order type. See Work orders.

A new property shows "Not used yet" until you choose one.

Inherited values and overrides

Set a value on an asset type, and every asset of that type shows it with the note "From" and the type's name. Set a different value on one asset to override it; select Reset to type value to go back. A variation can override its parent type the same way.

When a space changes kind or an asset changes type, values that no longer apply stay saved. They show again when the kind or type changes back.

Select options

Options are archived, never removed. Existing values keep their labels after you archive an option.

Properties in the asset tree

Owners and admins choose up to four values the asset tree shows after each name, in order: the identifier, status, type, tags, or any asset property. Spaces show the identifier and tags of the same choice. A row shows as many as fit and collapses the rest into a count. Saved views keep their own choice.

Every value change appears in the object's activity. Deleting a property deletes its values and cannot be undone.
