QR codes and public pages

How a printed code leads to an asset, and what visitors see.

Each asset's QR code holds one link: https://<app address>/@handle/IDENTIFIER. The handle is your workspace's public name, and the identifier is the asset's. Letter case in the link does not matter; Machine QR shows the identifier in uppercase.

A scan opens the asset's public page. Members of the workspace see Open workspace there, which opens the asset in Machine QR.

Registering an unknown code

A valid identifier with no asset yet shows Not registered, the identifier, and the asset type its pattern suggests. Select Register to create the asset with that identifier and type.

  • Members can always register.
  • Visitors can register while Visitor registration is on in Workspace settings, Assets. It is on by default. When it is off, visitors see Sign in instead.
  • Registering twice, or by two people at once, creates one asset.

An identifier that the workspace does not allow, or that belongs to a deleted asset, shows "Page not found".

Public pages

A public page shows the workspace name, the asset's name, identifier, type, and its type image. It never shows the logbook, documents, work orders, or the asset's own photos.

Public pages are a workspace switch. While they are off, visitors find no workspace or asset page and cannot register; members still open them. New workspaces start with public pages off. The Public links setup pack turns them on and allows visitor registration.

Renames and moves

Renaming an asset or moving it to another space does not change its link. Printed codes keep working.

If you change the workspace handle, links with the former handle redirect to the new one.

Changing an identifier

Owners and admins can change an asset's identifier with Change identifier. Be careful:

  • Printed codes and shared links with the old identifier stop opening the asset.
  • The old identifier becomes free, so a new asset can take it.

A deleted asset keeps its identifier reserved, so its codes cannot point to another asset.
