Create a template
Write reusable content with tasks for work documents.
A template holds a checklist or instructions you write once and use in many work orders, such as a monthly inspection. You need to be an owner or admin.
- Open the workspace menu, select Workspace settings, then Work orders.
- In Work order templates, select Add template.
- Enter a Name.
- Under Teams, choose the teams that can use it, or leave it empty for All teams.
- Write the Content. Type
/to insert a block: Task, Inspection, Single select, Input, Timer, Image, Table, headings, and lists. - Select Create.
Result: contributors of the chosen teams find the template under Templates in a work document, in Edit mode.
After you create it, open the template again to change it. Changes save as you type. If someone else changed the same template meanwhile, choose Load latest or Keep my version.
Use it as a type's default
- In Work order types on the same page, select the pencil icon of a type.
- Under Default template, choose the template.
Every new work order of that type then gets the template in each of its steps. A default template must be available to all teams.
Images in templates
Images in a template are reference material, for example a part or a valve position. Each work order gets its own copy, marked From template. They do not count as work photos, and later changes to the template do not change them. Images can be up to 10 MB.
Deleting a template does not change work orders that already use its content. See Work documents and templates.
